Agents see your events and guests

What agents can do

  • List your calendar's upcoming and past events, with dates in each event's timezone
  • Read an event's guests, their registration answers and who checked in
  • Find a guest by email, and search the people on your calendar
  • Save an event's guests to the Directory, on a list named after the event, each with an ICP score from their registration answers
  • Route guests in HubSpot by score, such as scores under 60 to one owner and 60 and up to another, adding guests who aren't contacts yet
  • Start when someone registers, is approved, or checks in
  • Add guests, send invitations, approve or decline guests, and email an event's guests

Connect

1 Create an API key in Luma

In Luma, open your calendar's Settings → Developer and create an API key. The Luma API needs Luma Plus on that calendar.

2 Open Integrations → Luma

3 Paste the key and select Connect securely

Your key is encrypted and never shown in GTM chats. Luma connects for the whole workspace, so an admin connects it once for everyone.

Route an event's guests

Ask in chat, for example: Find people attending our Luma event, score them, upload them to HubSpot, and route Pho Fam for scores under 60 and Alex Phan for 60 and up.

GTM sets up an agent and asks when it should run:

  • As people register: it checks the guests registered so far, then each new guest within a few minutes.
  • Every morning: at 9 AM your time.
  • Once, now: only the guests registered so far.

Each run reports who it assigned, who was new to HubSpot, and who couldn't be scored yet. Guests who can't be scored stay unassigned, and the next run tries again.

Good to know

  • GTM hears about registrations and check-ins right away, and checks every few minutes in case an update is missed. Nothing to set up.
  • In chat, a change in Luma, such as adding a guest or sending an email, waits for your approval. Luma emails guests only when the change says so.
  • Your CRM only receives emails that pass GTM's email check. A guest whose email can't be confirmed is named in the report instead.
  • Luma shares an event's guests only with the calendar that hosts it.
  • Registered, approved and checked in are different. Only a checked-in guest attended.

Disconnect

In Integrations → Luma, an admin selects Stop sharing with your team. GTM stops listening for registrations at the same time.
